I'm Hired! Now What?
Congratulations and welcome to BYU Expeditions! We are happy to have you as part of our team.
Once you have accepted an offer through Workday with BYU Expeditions, you will begin to receive tasks in your Workday account. Please carefully review the information for each task complete them as soon as possible.
All contract assignments are made based on your availability as indicated in your application. You will not be able to change your availability after accepting your contracts.
Accepting/Declining Contracts:
- You will receive an email from expeditionshiring@byu.edu with your scheduled sessions for the summer. Generally this is sent around late March or early April.
- You have ONE WEEK to accept or decline any contract given to you.
- Contracts not accepted within seven days may be withdrawn.
- If you decline a contract within two weeks of the session start date, you may be subject to a $50 fee for each contract dropped, and future employment with BYU Expeditions may be negatively affected.
- Contact the BYU Expeditions Office or Hiring Manager immediately regarding any extenuating circumstances.
- All staff must be willing to accept:
- Contracts during peak weeks
Staff who do not comply with these expectations risk losing all other assigned contracts. Any costs associated with flights booked for out-of-state sessions would become the staff’s responsibility.

Once you receive an email or Workday task inviting you to turn in hiring documents, please complete all necessary forms and submit them to our office as soon as possible. Remember, you are not officially hired until your required hiring documents are correctly and completely filled out and received by the DCE HR Office at BYU. The email received will indicate any forms needing to be completed. Please call 801-422-8764 or email expeditionshiring@byu.edu with any questions.
Important note: If BYU Expeditions receives incomplete or incorrect paperwork, you will be required to fill it out again and resubmit it to the BYU Expeditions office. If paperwork has not been completed before Staff Orientation, you will not be able to report to work. Please read the paperwork instructions carefully.
Your email or task in Workday will indicate which documents to submit. Below are the documents required in order to work at BYU Expeditions.
I-9
This is a required US government document. The I-9 MUST be completed in person. When you receive the email about the paperwork, please contact BYU Expeditions Hiring to schedule an appointment to complete the form. When you come into the BYU Expeditions office, please follow these instructions:
- Bring your original and unexpired document(s) with you to the BYU Expeditions office. Please review the Lists of Acceptable Documents (PDF) for I-9 forms to see the options.
- Do not complete an I-9 form before coming to the office. Our office is open on weekdays from 8:30 a.m. to 4:30 p.m. (closed holidays).
In the event you cannot come into the BYU Expeditions office before working, please notify BYU Expeditions Hiring. Please call our office at 801-422-8764 if you have any questions.
**International students and instructors: Before coming into our office or bringing documents to a session, please contact us at 801-422-8764 to see what is necessary for the I-9 document.**
W-4
This is an IRS employment form required for tax purposes. Every hired staff member will need to complete a new W-4 form for each year they work at BYU Expeditions.
The W-4 form is now managed and completed online through Workday. Detailed instructions on how to complete the Direct Deposit form will be emailed after hired staff pass the Background Check.
Direct Deposit
- Direct deposit is mandatory. We cannot pay staff members for any sessions worked unless this is filled out completely and correctly. Direct deposit is now managed and completed online through Workday.
If you plan to complete the Direct Deposit form when you come to complete your I-9, please bring your account and routing numbers. Detailed instructions on how to complete the Direct Deposit form will be emailed after you clear the Background Check.
Social Security Card
Please bring an original Social Security card (SIGNED) to the office with your hiring documentation. BYU policy requires that we make a copy of your original document to hold in your employment file for payment purposes.
- If you do not have a Social Security card, visit the Social Security Administration website to find the office nearest to you. When you apply for a new card, a receipt will be given to you. This receipt can be used as a temporary card to move you forward in the hiring process. As soon as you receive the card, SIGN IT and email a copy to expeditionshiring@byu.edu.
- The receipt will expire in 90 days. If it expires during your employment with BYU Expeditions, your pay cannot be processed until a copy of your new card has been received.
All staff hired for BYU Expeditions must attend a mandatory Staff Orientation in person. It will be held May 18-21, 2027. This orientation will be held away from campus, but check-in will happen in Provo, Utah. Transportation to check-in is the responsibility of the staff member. Any travel during the orientation will be provided by BYU Expeditions.
About a month before Staff Orientation, you will receive access to the Online Training. It is your responsibility to complete the training before Staff Orientation begins.
